Whitman, Requardt & Associates, LLP (WRA) is seeking a highly organized and experienced Administrative Assistant to support the administration of our Lynchburg office. The ideal candidate will have 5-10 years of progressive experience as an Administrative Assistant, preferably within the architecture, engineering, and construction (A/E/C) industry. This role involves managing a variety of administrative tasks to ensure the smooth operation of the office and the Construction Management and Inspection Division.

Key Responsibilities:

  • Office Administration: Assist in managing the day-to-day operations of WRA’s Lynchburg office, supporting a team of 30+ office and field personnel.
  • Client Invoicing and Billing: Prepare and submit client invoices, coordinating with Project Accountants to ensure timely and accurate monthly billings for the Construction Management and Inspection Division.
  • Accounts Payable Support: Assist with coding expenses, including credit card transactions, truck leases, and other direct expenses, ensuring proper documentation and alignment with division requirements.
  • Construction Management Division Support: Provide administrative support to field and office staff, including coordinating lodging, travel arrangements, and managing supplies and equipment needs.

Qualifications:

  • Experience: Minimum of 5-10 years of progressive experience as an Administrative Assistant, preferably in the A/E/C industry.
  • Education: Must have a high school degree or equivalent - Associates or Bachelor's degree preferred
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook), extensive knowledge of Microsoft Excel required and experience with accounting software or ERP systems is preferred.
  • Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally with clients, vendors, and internal teams.
  • Organizational Skills: Exceptional organizational and multitasking abilities, with a keen attention to detail.
  • Problem-Solving: Ability to anticipate needs, solve problems independently, and manage multiple priorities in a fast-paced environment.

Work Environment:

  • Location: This role is based in Lynchburg, VA, with a requirement to work on-site.
  • Team: You will be part of a dynamic team, contributing to the success of WRA’s Construction Management and Inspection Division.
